Restaurant Staff Attendance and Salary: A Fair, Simple System

How to track restaurant staff attendance, handle late marks, half days and leave, and calculate monthly salary fairly — so staff trust it and owners save time.

In most restaurants, salary day is stressful. The owner adds up attendance from a register, someone disputes a half day, a late mark is forgotten, and the final number feels like a guess. Staff lose trust, the owner loses hours, and mistakes rarely work in the owner's favour.

A fair, simple attendance and salary system fixes all three. Here is how to set one up.

Step 1: Record attendance automatically

Paper registers are easy to fill in later — or fill in for someone else. A fingerprint (biometric) machine records the exact punch-in and punch-out time for each person. The key is to connect it to software, so you are not copying numbers by hand at the end of the month.

Step 2: Write down clear rules

Disputes happen when rules live only in the owner's head. Decide them once, write them down and share them with the team. For example:

  • Grace time: how many minutes late is still on time (say, 15 minutes).
  • Late marks: how many late arrivals count as a half day.
  • Half day: how many hours of work make a half day.
  • Paid leave: how many paid leaves per month.
  • Weekly off: which day, and what happens if someone works on it.
  • Advances: how salary advances are deducted.

The exact numbers are your choice. What matters is that they are fixed, known to everyone and applied the same way to all.

Step 3: Calculate salary the same way every month

A simple, fair method:

  1. Start with the monthly salary.
  2. Work out the per-day rate (monthly salary ÷ days in the month, or a fixed number like 30 — choose one and stick to it).
  3. Count present days, half days, paid leave and absences using your rules.
  4. Deduct unpaid absences and half days, then subtract any advance.
  5. Add any bonus or overtime.

Step 4: Show staff how their salary was calculated

Most salary disputes are not about money — they are about not understanding the number. A salary slip that shows days present, late marks, half days, leave, each deduction and the final amount ends most arguments before they start.

Step 5: Lock the month

Once salaries are paid, lock that month so attendance cannot be edited later. This protects both you and your staff.

Bonus: connect staff to sales

When attendance lives in the same system as billing, you can see sales by staff member, cancellations by staff member and which shifts perform best — useful for fair incentives and for spotting problems early.
