Restaurant Daily Closing Checklist: 12 Steps Before You Lock Up

A practical end-of-day closing checklist for restaurants, cafes and bars in India: cash tally, voids, stock, wastage, kitchen safety and the reports to check.

The last hour of the day is when most restaurant money goes missing — not because of one big theft, but because everyone is tired and wants to go home. The cash is counted in a hurry, voided bills are never questioned, leftover food is not recorded, and the gas is "probably" off. A week later, nobody can explain why the numbers do not match.

A simple, written closing checklist fixes most of this. It takes fifteen to twenty minutes once the team is used to it, and it gives you a clear picture of every day. Here is a checklist you can adapt for your restaurant, cafe or bar.

Money and billing

1. Close all open tables and bills

Before anything else, make sure every table is billed and settled. An open table at closing time is either an unpaid bill or a mistake waiting to happen. Check that no orders are sitting unbilled in the system.

2. Tally cash with the system

Count the cash in the drawer and compare it with the cash sales shown in your billing system. Do the count with two people where possible — the cashier and the manager. Record the difference, even if it is small. Small differences that repeat every day are a pattern worth looking at.

3. Match card, UPI and wallet payments

Compare card machine settlement slips and UPI or wallet totals with the system. Payments marked as "UPI" but never received are a common gap. Make sure each payment mode matches.

4. Check delivery app orders

If you take orders from delivery apps, confirm that every order received has been billed and every cancelled order has a reason. This makes monthly payout reconciliation much easier.

5. Review voids, discounts and complimentary items

Look at every voided bill, deleted item, discount and complimentary item for the day. Each one should have a reason and the name of the person who approved it. This is the single most useful step for spotting staff misuse, because cancelled or discounted bills are the easiest way for money to disappear quietly.

Stock and kitchen

6. Record wastage with a reason

Leftover prepared food, spoiled items, returned dishes and spillage should all be recorded with a quantity and a reason. Over time, this shows patterns — for example, over-preparation of certain items on slow weekdays.

7. Count key items

You do not need to count everything every night. Pick your most expensive and most "walkable" items — paneer, chicken, mutton, prawns, butter, cheese, and liquor if you run a bar — and count them daily. Compare the count with what the system says you should have.

8. Store food safely

Label and date prepared items, cover and refrigerate them properly, and throw away anything that should not be kept overnight. Check fridge and freezer temperatures. Follow your food safety guidelines and the FSSAI rules that apply to you.

9. Check the bar (if you have one)

Record open bottle levels for each brand, count sealed bottles, and lock the bar store. Any gap between pegs billed and liquor used should be noted before the shift leaves, not discovered at month end. If your state requires an excise register, make sure the day's entries are complete — confirm the exact requirements with your excise consultant.

Safety and premises

10. Switch off and lock up

Turn off the gas at the main valve, switch off cooking equipment and unnecessary lights, and check that taps are closed. Lock the store room, cash drawer and back door. Make a simple "last person out" list so it is clear who is responsible.

11. Clean for tomorrow

A clean kitchen at closing means a faster, safer opening. Clean cooking surfaces, empty bins, and set up the stations for the morning shift.

Reporting

12. Send a short closing report to the owner

The manager should send a short daily summary: total sales, sales by payment mode, cash difference, number of voids and discounts, wastage value and any issues — a staff absence, an equipment problem, a customer complaint. Even a few lines on WhatsApp every night keeps the owner informed without being on site.

Tips to make the checklist stick

  • Print it and put it on the wall near the billing counter and the kitchen.
  • Assign each step to a role — cashier, head chef, bar manager, closing manager.
  • Sign and date it every night, so there is accountability.
  • Review it weekly with your manager. If a step is always skipped, find out why.
  • Keep it short. A checklist that takes an hour will not be followed.

A sample closing timeline

Here is an example of how a mid-sized restaurant might split the work in the last half hour. Adjust the timings to suit your outlet.

  • 30 minutes before closing: last orders taken; kitchen starts storing and labelling prepared food; bar records open bottle levels.
  • 15 minutes before closing: all tables billed; cashier starts the cash and UPI tally; chef records wastage and counts key items.
  • At closing: manager reviews voids and discounts, checks the gas, locks up and sends the closing report.

When everyone knows their part, closing stops being a rush and becomes a routine.

How DUOZENT helps

DUOZENT makes most of this checklist automatic. Day-end reports show sales by payment mode, voids, discounts and complimentary items with who did what, so cash tallies are quick and questions are easy to ask. Recipe-based inventory reduces stock with every sale, so you can compare counted stock with expected stock. Bar owners get Bottle Count, the Leakage Report and an excise register. AI insights help flag unusual patterns, and staff attendance from fingerprint machines shows who was on shift. When it is time for accounts, the Tally export saves hours.
