QR Code Ordering for Restaurants in India: A Complete Guide
How QR code table ordering works, its real benefits and limits for Indian restaurants, cafes and bars, and how to roll it out smoothly with your staff.
QR code menus became common in India a few years ago. Many restaurants still use them only as a PDF of the printed menu. But a proper QR ordering system does much more: guests can browse a photo menu, place the order from the table, and follow its status — while the order goes straight to the kitchen.
How QR table ordering works
- Each table has its own QR code, so the system knows which table the order is from.
- The guest scans it with the phone camera. No app download is needed — the menu opens in the browser.
- The guest picks dishes, adds notes ("less spicy", "no onion") and places the order.
- The order appears instantly on the kitchen display or prints as a KOT, and the waiter is notified.
- The guest can see the status and pay by UPI, or ask for the bill as usual.
The real benefits
- Fewer wrong orders. The guest types the order, so there is no misheard dish or missing note.
- Faster service at busy times. Guests do not wait for a waiter just to order, and repeat orders (another round of drinks) are one tap.
- Better menus. Photos, short descriptions and "most loved" tags help guests choose, and can nudge them towards high-margin dishes.
- Every order is recorded. Because the order goes into the system directly, there is no room for an order that "was never billed".
The limits (be honest with yourself)
- Not every guest wants it. Families, older guests and regulars often prefer talking to a waiter. QR ordering should be an option, not a wall.
- Your menu must be correct. Out-of-stock dishes must be switched off quickly, or guests get frustrated.
- Staff need a clear role. Waiters move from taking orders to serving, suggesting and looking after guests.
How to roll it out smoothly
- Start with good photos. Even phone photos in natural light are far better than no photos.
- Put the QR where guests see it. A table tent or sticker with a short line: "Scan to see the menu and order".
- Train staff in one sentence. "You can order from your phone, or I can take your order — whatever you like."
- Connect it to the kitchen. QR orders must reach the kitchen display or KOT printer automatically; otherwise you have only moved the problem.
- Watch the numbers for two weeks. Average bill, order time and wrong orders tell you whether it is working.
